Review Workflow

Route entry drafts through stakeholder review, approval, and submission readiness checks before submitting to award programs.

The review stage is where submission errors happen. A draft that has not been approved by the right people, a section that was revised but the revision never confirmed, an asset that was flagged as missing but never chased: these are the gaps that result in weak submissions or, in the worst case, missed deadlines. When review is managed across email and shared documents, these gaps are invisible until it is too late.

The Awardy Review Workflow makes the review stage explicit, trackable, and auditable. Every draft goes through a defined sequence of approvals before it can be submitted. Submission readiness is checked automatically. Nothing gets submitted that has not been cleared.

How the workflow operates

The review workflow runs from initial draft routing through to final submission confirmation.

Draft Routing

When an entry draft is complete, the review workflow routes it to the configured reviewer sequence. Reviewers can be assigned by role: strategy review, creative director approval, account lead sign-off, or client-facing review. Each stage must be cleared before the draft moves to the next reviewer.

Section-Level Comments

Reviewers can comment on individual sections of the entry rather than leaving a single overall note. Comments are visible to the writer alongside the relevant text, so revisions are precise. Version history is maintained so the team can track how a section changed between drafts.

Approval and Revision Requests

Each reviewer can approve a draft, request revisions, or flag a section for escalation. Revision requests include the specific change required and are tracked until resolved. The draft does not progress until all outstanding requests are closed.

Submission Readiness Check

Before a draft can be submitted, it passes through an automated readiness check. The check confirms that all required sections are complete, word counts are within limits, required assets are attached, and the entry meets the specific format requirements of the target program. Entries that fail the check cannot be submitted until the issues are resolved.

Deadline Visibility

The review workflow tracks the submission deadline for each entry alongside the review status. If outstanding approvals are going to cause a deadline miss, the workflow flags the conflict so the team can escalate or adjust the timeline. Deadline visibility is integrated into the review process, not separate from it.

Submission Confirmation

Once the entry is approved and submission-ready, the workflow records the confirmation of submission including the date, time, portal reference, and the version of the entry submitted. Confirmation records are retained for the full submission history of the campaign.
